Job Presentation
Responsible for a wide variety of administrative activities for attainment of the Committee Secretariat goals to further the Committees business aims and objectives. The core duties and responsibilities of the Administrative Officer will revolve around supporting the role of the Secretary General (SG).

QualificationsBachelor degree (in Business Administration or equivalent) required
SoftwareComputer proficient in standard office applications. Basic knowledge in the use of databases. Good in working on online systems for programme application and reporting
Knowledge OfPrevious experience in a Personal Assistance role; working knowledge of basic budgeting and bookkeeping
Skills ToExcellent organizational, time management and communication skills. Administration and systems (records) management skills
Ability ToDemonstrate ability in planning for an event
Other RequirementsGood knowledge of the Olympic Movement would be an added advantage. Basic understanding of the French language would be an added advantage
Requirements
  • Manage day-to-day administrative operations, including correspondence, reports, and documentation
  • Prepare communications, such as memos, emails, reports and other correspondence
  • Write and edit documents e.g. letters, reports and organizational documents
  • Support SG in the processing of applications for funding for events and retirement of such funding
  • Create and maintain filing systems, both electronic and physical
  • Responsible for all the smooth running of the office including computers, printers. Copiers, vehicles and phones
  • Evaluate and ensure Board/staff travel logistics are timely processed.
  • Training, onboarding and supervising junior staff
  • Schedule appointments and maintain calendars for the SG and Executive Board
  • Attend Executive Board meetings and prepare meeting minutes and relevant reports
  • Schedule and coordinate staff and other meetings
  • Good liaison with visitors, Board members and staff
  • Support SG towards partner engagements, planning and reporting
  • May be expected to assist in other functions as determined by the Secretary General as necessary
  • Provide support in preparations for International games that the organisation are required to participate in
  • Provide support to Commissions activities as assigned
  • Prepare Board Executive Annual report in conjunction with Communication Officer for the Annual General Meeting
